“It Was Scary How Easy It Was”: Building a Custom GPT in Two Hours

“It was scary how easy it was.” That was the first reaction from a client last week after we built a custom GPT together — just in time for Halloween.

For many not-for-profits, AI can feel like something out of a sci-fi movie: complex, risky, and better left to the tech experts. But what’s really spooky is how simple and empowering these tools can be when guided the right way.

👻 From “tricky conversations” to trusted guidance

The GPT we created wasn’t for the public. It was built for staff; to help them navigate challenging workplace conversations using their organisation’s own frameworks and language.

We took the resources they already had (training notes, facilitation guides, internal tools) and turned them into a conversational assistant that helps staff prepare, reflect, and feel supported.

Total build time?
About an hour to set up the materials, and another hour to finalise prompts and test it together. The feedback since has been overwhelmingly positive:

“I loved how AI helped me take all the information and turn it into the format it needed, it was so quick and easy.”

🧠 Not about tech, about trust

What stood out most wasn’t the speed or the tech, but the confidence it built. Staff could see AI working for them, not replacing their judgment, but amplifying their values and processes.

That’s the quiet revolution I’m seeing across the NFP sector: small, safe experiments that start inside the organisation, using your own content, at your own pace.

You don’t need a budget line for “AI innovation.” You just need curiosity, a clear purpose, and a trusted guide to help you begin.

🎁 The least spooky next step

If your team can use Google Docs, you can build a GPT. The trick is knowing where to start and what problem it should solve.

So this Halloween week, don’t be afraid to test something new. The scariest part is often just getting started and that’s exactly where I can help.
